Job Description:

The Business Operations Analyst position plays a critical role in ensuring that the flow of purchase orders, inventory receipts, customer invoices, and supplier invoices are processed in an accurate and efficient manner. This position will provide support to 4 critical departments: Customer Service, Purchasing, Chain teams, and Warehouse/Operations. The analyst will act as a bridge between all cross functional areas, providing coordination and communication between these teams. In this capacity, the analyst is responsible for ensuring that invoicing and receipt of inventory is accurate and timely. They are also responsible for maintaining all required documents with the bonded third-party warehouse as required by corporate accounts payable and the state of Florida’s DBPR.

Daily Job Functions:

Inventory

Processing Gallo Advance Ship Notices for Tampa warehouse and Pass-Thru orders
Building receiving documents for Tampa warehouse team
Receiving inventory into the AS400 for Tampa warehouse
Resolve inventory discrepancies and process inventory adjustments as needed
Furnish inventory reports, allocated item lists, and product return reports to sales

Chain Direct-Ship Customers

Verifying PO’s and receiving into inventory Pass-Thru orders
Ensuring accuracy of pricing on Pass-Thru purchase orders prior to billing
Billing Pass-Thru warehouse invoices to chain customer accounts
Verifying BOL’s after shipment to correct and receiving and invoicing discrepancies

Accounts Payable

Invoice cost analysis and revisions
Submitting prior day inventory receipts to A/P in St. Paul
Final processing of daily Gallo invoices for A/P in St. Paul
Reviewing invoice discrepancies related to FOB and Freight

ALDI/ABC Specific Functions

Assist in order analysis and processing of new purchase orders as they are received daily
Generating ALDI M&W delivery documents for bonded 3PL to ALDI warehouses
Processing inventory receipts to bonded 3PL and generating transfer documents
Bill of Lading processing and generating final transfer documents
Billing invoices for individual purchase orders
Reconciling M&W physical inventory with inventory in Warehouse 2 in AS400
Verifying BOL’s after shipment to correct and receiving and invoicing discrepancies

Additional Functions

Setup of all new suppliers and products
Daily analysis of potential billing issues related to product and gross profit
Providing reporting and analysis as requested by GM, Director of Trade Development, and Director of Operations
